Senior Staff Assistant to CEO

We are seeking a highly organized and proactive Senior Staff Assistant to support our CEO. This role is critical in ensuring the smooth operation of executive activities and contributing to our marketing and administrative efforts. The ideal candidate will possess exceptional communication skills, attention to detail, and the ability to handle multiple tasks efficiently.

Key Responsibilities:

Executive Support:

  • Provide comprehensive administrative support to the CEO, including managing schedules, coordinating meetings, and handling communications.
  • Prepare and organize meeting materials, take minutes, and follow up on action items.

Marketing Administration:

  • Coordinate customer webinars, including scheduling, promotion, registration management, and post-webinar follow-up.
  • Collaborate with our web developer to facilitate website maintenance and enhancements, ensuring content is current and engaging.
  • Publish our monthly newsletter, including content creation, editing, and distribution.
  • Maintain and update our social media sites, creating and scheduling posts, and engaging with our audience.
  • Assist in planning and executing marketing campaigns to align with company objectives and brand guidelines.

Board and Investor Support:

  • Provide administrative support for board and investor meetings, including scheduling, preparing meeting materials, and taking minutes.
  • Assist with finance-related administration, including invoicing, expense tracking, and budget management.

Human Resources Support:

  • Facilitate employee relations activities, such as onboarding new hires and basic human resources administration.
  • Maintain employee records and ensure compliance with HR policies and procedures.
  • Coordinate team-building activities and company events.

Required Skills and Qualifications:

  • Proven experience in executive support, administrative roles, or similar positions.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
  • Experience with social media platforms and content management systems.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Skills:

  • Familiarity with the following applications is a plus: Bill.com, Salesforce.com, and Pardot.
